1. Who We Are
Hitter’s Underground Raceway (HUR) is an RC racing club based in Brampton, Ontario, operating 1/28 scale on-road and off-road racing and a Tamiya Mini 4WD program.

2. Information We Collect
- Membership and event data: name, email, phone number, discipline interest, event RSVPs
- Photos and video: captured at HUR premises and events (see Section 4)
- Communications: messages sent via our contact form
- Website usage: basic analytics (pages visited, general location by IP, device type) via [Cloudflare Web Analytics / equivalent]
- Payment information (if applicable): processed by our payment provider directly, HUR does not store card details
We do not knowingly collect more personal information from children than is reasonably necessary for event participation, and we do not collect financial information from minors.
3. How We Use Your Information
- Coordinating races, membership, and club communications
- Sending event updates and club news, where you’ve provided consent (see Section 6)
- Reporting attendance and fundraising outcomes to charity partners (e.g., Alzheimer’s Society Peel), in aggregate, not individual detail unless you’ve separately agreed
- Promoting HUR and the hobby through our website, social media, and local press
4. Photo and Video: Photo/Video Zone Policy
All HUR premises and events are designated photo/video zones. By attending, you consent to being photographed or filmed for use on our website, social media, and promotional materials. This is posted at every venue and noted at registration.
Minors: general event-atmosphere photography of minors falls under the same blanket consent above. If HUR wishes to name or specifically feature a minor (a news article, a member spotlight, a testimonial), we will seek separate, explicit acknowledgment from a parent or guardian first. You can request removal of a specific image of your child at any time by contacting us (Section 8).
If you do not wish to be photographed at all, tell event staff on arrival and we’ll accommodate where reasonably possible, this is a small club and we’ll work with you directly.
5. Who We Share Information With
We do not sell personal information. We share limited information with:
- Charity/venue partners(e.g., Alzheimer’s Society Peel), aggregate attendance and fundraising figures only
- Service providers who help run the site and communications (e.g., Cloudflare for hosting, Resend for email), bound to use your data only to provide that service
- Legal authorities, only if required by law
6. Email Communications (CASL)
If you sign up for HUR updates, we’ll only send commercial electronic messages with your express consent, per CASL. Every email includes:
- Clear identification of HUR as sender
- A working unsubscribe link, honoured within 10 business days
You can withdraw consent at any time.
7. Data Storage and Security
Website hosted on Cloudflare Pages. Email communications managed through Resend. We take reasonable technical and organizational steps to protect your information but no online system is 100% secure, and we’ll notify affected individuals if a breach poses real risk of harm.
We retain personal information only as long as needed for the purposes above, or as required by law.
8. Your Rights
Under PIPEDA, you can:
- Ask what personal information we hold about you
- Request correction of inaccurate information
- Withdraw consent for non-essential uses (e.g., email marketing, specific photo use)
- File a complaint with the Office of the Privacy Commissioner of Canada if you believe we’ve mishandled your information
